RFQ title. A short scope description a supplier can judge at a glance — "Wear parts for mixer gearbox", not "Enquiry 2024".

Issuing company. Who is buying. Suppliers price differently for a one-off purchaser and a recurring industrial customer, so say which you are.

Category. Spare parts, MRO consumables, machined or fabricated parts, machinery, or a manufacturing service. This is what suppliers filter on.

Delivery location and Incoterms. Without an agreed Incoterm you cannot compare prices, because freight, duty and insurance may sit inside one quotation and outside another. State the receiving site and the term together.

Quotation currency. One currency for the whole request. Mixed-currency responses have to be converted before comparison and the conversion date becomes an argument.

Quotation deadline. A hard date. Allow enough working days for suppliers to query their own sources — for fabricated parts or equipment that means weeks, not hours.

Line items. One position per article. Description and specification carry the technical requirement; part or drawing number (with the revision) removes ambiguity; quantity and unit set the price bracket; manufacturer or standard tells the supplier whether an equivalent is acceptable.

Additional requirements. Packaging, marking, material certificates, inspection and test documentation, payment terms, whether partial deliveries and partial offers are allowed, and the quotation validity you expect.

Spare parts. Identification beats description. Give the machine type, serial number and the manufacturer designation, and attach a nameplate photo where the part number is worn or unknown. State explicitly whether OEM parts are mandatory.

MRO consumables. Quote volume, not a single order. Give the annual quantity and the expected call-off pattern so suppliers can price a framework, and group items that ship together to reduce freight.

Machinery and equipment. Ratings, interfaces, footprint and utility requirements belong in the request, together with the documentation language and whether installation, commissioning and operator training are in scope.

Manufacturing services. Drawing revision, material and grade, tolerances, surface treatment, inspection requirement and batch size. Say whether tooling exists or has to be produced, and who owns it afterwards.

A document only reaches the suppliers you already know.
